The perfect venue really is the backbone of the perfect event. So, to help you in choosing a venue, we’ve put together this checklist for success.

The cost: cost is one of the most important and pressing considerations when choosing a venue, especially when you need that venue on an ongoing basis. As such, setting a realistic budget with a generous price range – setting an ideal lower, middle and higher desired amount – is a good idea, providing you with a variety of options that won’t break the bank! 

The location: location, location, location. Location is something we discuss often and something that is extremely important in venue hire as it dictates the overall cost of a venue, as well as overall accessibility, parking availability and transport options. Therefore, we recommend choosing a desired location plus 5 or 10km so you can compare prices, availability and prices. 

The capacity: especially important if you’re hosting a large event is the capacity of a venue. Due to health & safety regulations, venues for hire will have a maximum capacity that should never be exceeded. What’s more, smaller venues will typically be less expensive than larger venues with a bigger capacity. Therefore, before you start choosing a venue, work out a minimum and maximum number of attendees for your event – you could end up saving yourself a lot of money and hassle! 

The layout: how do you envisage the layout of your event venue? Do you need seating or is it a standing event? The desired layout of your event will inform the venue you eventually choose. But what happens if you’re not yet sure? Choose a venue that offers flexibility in set up. 

In short, go into choosing a venue with a plan of action: an idea of how much you’d like to spend, where you want to be located, how many people you’d like to invite to your event and what layout you want your event to have – all of this will help you choose the ideal venue, fast!
