Here are the most important things to consider when hiring a training room or meeting venue

Hiring a venue for training or a professional meeting is not simply about finding a comfortable room within a good distance of your office or place of work. Depending on your requirements for the day – or the length of time you’re hiring the venue for – hiring a venue specifically for professional use can be a complex process that requires a lot of thought and forward planning. So, here are the most important things to consider when hiring a training room or meeting venue.

Important things to consider when hiring a training room or meeting venue

Is it easy for everyone to get to? This is a point we often make for all venues but, especially when you have a number of professionals travelling from different areas or parts of the country to attend your training day or meeting, it’s important to ensure the venue you choose is easy to get to. This means close to transport links and, ideally, with a car park. The last thing you need is for people to cancel at the last minute because they can’t get to you or, possibly worse!, get stranded at the venue because the last bus to the train station is at 4pm and your event finishes at 4.45pm.

Is there WiFi? Even if you’re planning an away day or team bonding session where laptops aren’t necessary and flip charts are favoured, professionals are guaranteed to need quick & easy access to their emails throughout the day. Ensuring the training room or meeting venue you book has a WiFi connection and you are able to connect to it is going to be a vital part of the experience for your attendees.

Are there tea and coffee facilities? To ensure your attendees feel comfortable and cared for, and stay hydrated throughout the day, it’s a good idea to check whether your chosen venue has tea and coffee making facilities. Not all venues will and, as a result, you may need to provide tea, coffee and other refreshments such as water and juice yourself. Whatever the answer, you’ll want to know in advance so you can plan accordingly!

What venues do other professionals recommend? Always look for reviews from professionals similar to you and your attendees – their experiences of a specific venue will provide you with a valuable insight into the kind of experience you and your attendees are likely to have with the venue in question. Particularly pay attention to things like facilities and customer service, as well as whether the venue was clean & tidy when the hirers arrived.

Considering these few key factors when hiring a training room or meeting venue will inevitably help you find a space that’s suited to your requirements as well as those of your attendees.
