Sometimes a weekend meeting is your only option; here’s how to host a weekend meeting with a weekend meeting room rental that employees or clients will enjoy

For start-up or rapidly growing corporate teams, weekend meetings may be your only option; to brainstorm new ideas, catch up with clients or conduct essential training. And, ensuring your employees or clients are comfortable and happy – giving over their weekend to support your business – is imperative to morale, productivity and the overall success not only of the meeting, but of your business. Here, we’ll provide some tips around how to host a weekend meeting with a weekend meeting room rental employees or clients will enjoy.

How to host a weekend meeting

Find a central location: hosting a weekend meeting with a weekend meeting room rental is no easy feat but finding a central location that is easy to get to, close to public transport and – a bonus – close to something like a coffee shop or sandwich bar for snack and lunch breaks will encourage employees or clients to attend, without feeling uncomfortable or uneasy about giving up their weekend for work. Choosing a location near a place that sells food or drink also provides you with the option of moving the meeting to a more casual setting, if it overruns or starts to fatigue.

Book a great venue: the venue you choose to host your meeting at will absolutely make a difference to attendee comfort and enjoyment, and even their productivity. An affordable, spacious, bright and well-presented venue with access to good AV equipment, accessible toilets and possibly even amenities such as a kettle for tea, coffee and hot drinks will help everyone focus on the tasks at hand.

Allow video/conference calls: allowing some to attend via video/conference call with encourage more people to give over their time and engage with the meeting. Allowing external calls will mean that individuals who are unable to commute and attend in person will still be included in the meeting.

Try not to overrun: establishing a timetable, sharing it before the meeting date, and ensuring – where possible – this is stuck to will be imperative to attendee comfort and enjoyment; particularly as it’s extremely likely those attending will have somewhere to be or something to do shortly after the expected finish! However, if the meeting does overrun, consider taking it to a local coffee shop (as mentioned above) and making the overrun optional to attend.
